TalentHub Holdings Limited (New Zealand): (NZBN 9429048753357) Owns and operates the global infrastructure.

Cross-Entity Processing: Where recruitment services relate to Japan mandates, TalentHub Partners K.K. acts as the service provider, supported by the technology infrastructure of TalentHub Holdings Limited. Personal information is processed across both entities subject to strict internal controls.

2. Our Commitment

We handle personal information lawfully, transparently, and responsibly. We collect data only where necessary to deliver executive search, outbound RPO, and strategic advisory services. We do not sell personal information.

• Direct Submissions: Name, contact details, resumes, employment history, and correspondence.
• Public Professional Data: Information from professional networks (e.g., LinkedIn) and industry press.
• Authorized Third Parties: Information from referees or client organizations where lawful.

4. Use of Personal Information

We process data to conduct executive search, deliver RPO solutions, and improve workflows. We only process information where it is necessary to perform a contract, we have a legitimate business interest, or we are required by law.

Human-in-the-Loop: AI systems operate under mandatory human supervision and do not replace professional judgment.

Safeguards: We utilize enterprise-tier, private AI instances. We do not use public consumer AI tools for private data, and we do not permit third-party models to be trained on your confidential information.

TalentHub operates across New Zealand and Japan. We prioritize data sovereignty by hosting personal information within the geographical region of the subject. For Japan-based mandates, data is stored and processed using secure, Tier-1 cloud infrastructure (AWS/GCP) in Japan-based regions. We ensure appropriate safeguards are in place to comply with applicable privacy laws.

8. Storage and Security

We maintain high-standard organizational and technical safeguards. This includes regional data residency protocols to ensure Japan-based information remains within local jurisdiction where required for compliance. While we apply professional-grade security, no internet-based system can guarantee absolute security.

9. Your Rights

Subject to the NZ Privacy Act 2020 and Japan APPI, you may request access to, correction of, or deletion of your personal information. Requests should be directed to info@talenthubpartners.com.
