Terms of Service

These Terms of Service (“Terms”) govern access to and use of the TalentHub website, landing pages, AI chat interfaces, booking tools, content, and any related platform functionality (collectively, the “Services”).

The Services are operated by TalentHub Holdings Limited (New Zealand Company Number 8132741), trading as TalentHub Solutions, and TalentHub Partners K.K. (Japan) (together “TalentHub”, “we”, “us”).

By accessing or using the Services, you agree to these Terms.
If you do not agree, you must not use the Services.

1. Entity Structure

TalentHub Holdings Limited (New Zealand) owns and operates the website, platform infrastructure and AI systems.

TalentHub Solutions is the trading name used for development and operation of this technology infrastructure.

Recruitment services in Japan are delivered exclusively by TalentHub Partners K.K., a licensed recruitment entity operating under the Japanese Employment Security Act and other applicable laws.

Engagement agreements will specify the contracting entity responsible for delivering services.

2. Scope of Services

The Services may include:

  • Executive search and recruitment advisory

  • Outbound RPO services

  • Candidate advisory and interview preparation support

  • AI-powered chat interfaces embedded within landing pages

  • Online booking functionality

  • Access to structured recruitment workflows for authorised users

  • Market and leadership content

We may modify, suspend or withdraw elements of the Services at any time.

3. Use of AI Tools

Certain Services incorporate artificial intelligence technologies to support research, drafting, guidance and workflow coordination.

AI tools:

  • Operate under human supervision

  • Do not replace professional judgement

  • Do not make final hiring decisions

  • May generate draft content or analysis subject to review

AI interactions are provided for informational and advisory purposes only.

You must not rely solely on AI outputs for employment, legal, financial or business decisions.

4. Permitted Use

You may use the Services only:

  • For lawful purposes

  • For legitimate recruitment, advisory or informational use

  • In accordance with these Terms and our Data and AI Use Policy

You must not:

  • Reverse engineer or attempt to extract platform logic

  • Use AI tools to scrape, copy or bulk extract data

  • Circumvent agreed recruitment engagements

  • Upload unlawful, misleading or discriminatory content

  • Use the Services to provide competing recruitment services outside agreed terms

Access may be restricted or withdrawn at our discretion.

5. Platform and Collaboration Access

Where limited access to recruitment workflows, dashboards or collaboration tools is granted:

  • Access is purpose-specific

  • Credentials must not be shared

  • Data visibility is restricted to authorised scope

  • Access may be revoked at any time

The platform is not licensed as a standalone SaaS product unless expressly agreed in writing.

6. Fees and Engagements

Executive search, outbound RPO and related recruitment services are governed by separate engagement agreements.

Where recruitment services are delivered in Japan, fees are invoiced by TalentHub Partners K.K., unless otherwise specified in writing.

Fees are payable by client organisations only, never by candidates, in accordance with applicable law.

Where TalentHub introduces a partner agency, contractual arrangements may be directly between you and that partner.

7. Data and Privacy

Your use of the Services is subject to our Privacy Policy and Data and AI Use Policy.

You are responsible for ensuring that any personal data you provide:

  • Is lawfully obtained

  • May be shared with us

  • Complies with applicable privacy legislation

We may anonymise or aggregate data for analytical purposes where individuals cannot be identified.

8. Intellectual Property

All intellectual property in the Services, including content, methodologies, branding, workflows and AI-supported processes, remains the property of TalentHub or its licensors.

You may not reproduce, distribute or commercially exploit any part of the Services without written consent.

9. Warranties and Liability

We will provide the Services with reasonable skill and care.

To the maximum extent permitted by law:

  • The Services are provided on an “as available” basis

  • We do not guarantee uninterrupted or error-free operation

  • AI-generated outputs may contain inaccuracies

Our liability is limited to fees paid by you in the 12 months preceding a claim.

Nothing in these Terms excludes liability that cannot lawfully be excluded.

10. Termination

We may suspend or terminate access to the Services if you breach these Terms.

Separate engagement agreements may contain additional termination provisions.

11. Governing Law

These Terms are governed by the laws of New Zealand.

Where recruitment services are delivered in Japan by TalentHub Partners K.K., applicable Japanese recruitment and employment regulations apply.

12. Changes to These Terms

We may update these Terms by publishing a revised version on our website.

Continued use of the Services constitutes acceptance of any updated Terms.
